Job Description & Overview
The Billing Manager at Ko‘olauloa Health Center (KHC) is responsible for overseeing the billing operations of the health center, ensuring accurate and timely submission of claims, managing the billing staff, and maintaining compliance with all federal and state regulations. The Billing Manager will utilize AthenaOne®, our integrated healthcare management software, to manage billing processes efficiently and effectively.
Key Responsibilities
Billing Operations Management:
Oversee the daily operations of the billing department, ensuring timely and accurate billing processes.
Monitor the submission of claims to insurance companies, Medicare, Medicaid, and other third-party payers.
Ensure proper coding and compliance with all regulatory requirements.
Utilize AthenaOne® to manage and streamline billing operations.
Team Management:
Supervise and support billing staff, including hiring, training, and performance evaluations.
Develop and implement training programs to ensure staff are knowledgeable about billing procedures and regulatory changes.
Foster a collaborative and efficient work environment within the billing department.
Financial Management:
Monitor accounts receivable and implement strategies to reduce outstanding balances.
Prepare and analyze billing reports, identifying trends and areas for improvement.
Collaborate with the CFO to develop and manage the billing department budget.
Compliance & Regulatory Management:
Ensure all billing activities comply with federal, state, and local regulations, including HIPAA.
Stay updated on changes in healthcare billing regulations and guidelines.
Conduct regular audits to ensure accuracy and compliance in billing processes.
Customer Service:
Address and resolve patient billing inquiries and issues promptly and professionally.
Collaborate with other departments to ensure a seamless patient experience regarding billing and payments.
Qualifications:
Education:
Bachelor’s degree in healthcare administration, Business Administration, Accounting, or related field preferred.
Experience:
Minimum of 5 years of experience in medical billing, with at least 2 years in a supervisory role.
Experience working with AthenaOne® or similar healthcare management software.
Experience in a federally qualified health center or similar healthcare setting is highly desirable.
Skills:
Strong understanding of medical billing and coding principles, including CPT, ICD-10, and HCPCS.
Excellent leadership, communication, and organizational skills.
Proficient in using billing software and Microsoft Office Suite.
Ability to analyze financial reports and data to make informed decisions.

Work Environment:
The position is primarily office-based, with regular working hours.
Occasional travel may be required for training and conferences.
